1 – Introduction

1.1 This privacy policy sets out how Bungay Arts & Theatre Society uses and protects any personal information that you give The Fisher Theatre.

1.2 Bungay Arts & Theatre Society is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using the Fisher Theatre, you can be assured that it will only be used in accordance with this privacy statement.

1.3 Bungay Arts & Theatre Society may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes.

1.4 This Privacy Policy has been written to help you understand how Bungay Arts & Theatre Society may collect your personal information. This Policy contains important information on how we handle the information we collect from you. Please read it carefully.



2 – What we collect


2.1 If you make a purchase at the Box Office or Online the Fisher Theatre will collect information from you in order to fulfil your order. Our Box Office system is from Savoy Systems and all information collected is stored on a dedicated server in one of their UK-Based Data Centres managed by RapidSwitch & CWCS, these servers are located in Nottingham with a disaster back-up in Maidenhead.

2.2 We collect the following information at the point of sale.

  • Title & Full Name
  • Telephone Number
  • Email Address
  • Full Postal Address including Post Code

2.3 The same information is collected from you if you are purchasing a Friend of the Fisher, Patron, Bungay Film Club Membership, Lottery or Bungay Arts & Theatre Society Membership.



3 – What we do with the information we gather


3.1 In order to make a purchase from the Fisher theatre we need to collect your personal information as stated in 2.2 for the following reasons.

  • Title and Full Name – We collect this to address you in the correct manner
  • Telephone Number – We collect this to inform you of any change to a performance or event for which you have purchased a ticket. We will never call you for any marketing reasons.
  • Email Address – In order to purchase a ticket Online an email address must be given so we can send you an order confirmation. You will be asked via a tick box whether you wish to join the Fisher Theatre Mailing list and only if this box is ticked will you start to receive marketing emails from us. Each marketing communication has a link with which a customer can unsubscribe from the marketing emails this will only erase your email from the marketing list, you will still be able to purchase tickets and receive a confirmation email from the Fisher Theatre. If unsubscribed you will not be able to join the list in the future. In the event we cannot reach you via a telephone call an email will be sent to you regarding any change in a performance or event which you have booked.
  • Full Postal Address & Postcode – We collect this information in order to send out tickets or gift vouchers if you have requested us to do so.

3.2 If you purchase a Friend of the Fisher, Patron or Bungay Film Club Membership which runs on an annual basis, your email address will be used to send you communications regarding your membership e.g. Offers, Discounts and Special event days. If you choose not to renew your membership after it has expired your email address will be automatically deleted from the membership database.

3.3 If you subscribe to the Fisher Theatre Lottery we will contact you via email or telephone if you have won a prize for that month.

3.4 If you are a Member of Bungay Arts & Theatre Society we will contact you either by email, post or telephone to communicate with you about future AGMs and other information regarding your membership.

3.5 The Fisher Theatre has one main email marketing communication database, we use this to contact customers about future events and performances coming to the Fisher Theatre. If you have agreed by ticking the box either Online or In-house you will receive marketing communication from us. If you are a member of BATs, subscribe to the Fisher Theatre Lottery or hold a Friend of the Fisher or Patron membership you will only receive communication from us about your membership or subscription unless you have ticketed the marketing communication box.

3.6 Members of Bungay Film Club will receive marketing communications from Bungay Film Club regarding future performances. When joining the membership by ticking the marketing box you agree for the Fisher Theatre to pass on your Email Address only to Bungay Film Club. Once the membership has expired and you have not renewed your membership your email address will be removed from the membership list.



4 – How long do we keep your information


4.1 If you have purchased a ticket, gift voucher or membership your information is held in our customer database.

4.2 If you have not purchased a ticket, gift voucher or membership for longer than 24 months your information will be erased from the database by an automatic sweep.

4.3 Your personal details will need to be provided again if your details have been erased and you wish to purchase a ticket, gift voucher or membership in the future.



5 – How we handle the rights covered by GDPR


5.1 You as the customer have the right to be informed by us what information we hold about you. You also have the right to ask us to supply all information we hold about you. To request this simply email The Theatre via the Contact page.

5.2 You, as the customer, can edit your personal details Online or in-house at the Box Office if you have moved house or changed any other personal details.

5.3 You, as the customer, have the right to be erased from our database. To submit a request please email The Theatre via the Contact page.

5.4 Any gift aid declarations made by you will be kept on file for a minimum of eight (8) years since this is a legal requirement from HMRC.



6 – Security


6.1 We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.



7 – How we use cookies

7.1 A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic when you visit the website. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

7.2 We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

8 – Links to other websites


8.1 Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.



9 – How we share your information with Third Parties


9.1 Bungay Arts & Theatre Society uses MailChimp as it's marketing communication tool. Once you have ticked the marketing box we input your First Name, Last Name and Email Address into MailChimp in order for you to receive marketing emails.

9.2 You can unsubscribe from MailChimp at any time by clicking the link at the bottom of each email communication.

9.3 If you are a member of Bungay Film Club your email address will be passed to them in order to receive communication about your membership and future films.

9.4 Bungay Arts & Theatre Society reserve the right to release personal information without consent or without consulting you, when we believe that this is appropriate to comply with our legal obligations, to enforce terms and conditions, to protect security of the website, to prevent fraud or otherwise to protect the legitimate interests of The Fisher Theatre or its customers.

9.5 Other than is stated above Bungay Arts & Theatre Society does not share any personal information about you to any other third party.



10 – How we collect payment information Online and where it is stored


10.1 When purchasing tickets online via fishertheatre.org you are transported to a payment page hosted by Savoy Systems on behalf of the Fisher Theatre. The payment gateway provider is Realex and acts as a Sub-Processor.

10.2 Card details and information are stored by Realex.

10.3 In-house card payments are taken either from the telephone or in person. The gateway provider is CardNet.

10.4 Bungay Arts & Theatre Society holds card information from customers who purchase tickets in-house or from the telephone, these are stored securely and retained for accounting purposes.



11 – Other


11.1 If you provide us with Sensitive Personal Data such as relating to a disability we will use this for the purpose of providing you with access to our goods and services.

11.2 When using our online service, information such as Password, Username and Security Questions or any other kind of security information, must be treated as confidential and not disclosed to any third party. If you become aware of any unauthorised use of your security information you must inform us immediately. You can change your account details at any time once you are signed in or you can email The Theatre via the Contact page for assistance.

11.3 Bungay Arts & Theatre Society will never contact you asking for any account details that you hold with us.
